Claims Administrative Assistant

EDUCATIONAL REQUIREMENTS: High school diploma or equivalent work experience

Customer service focus, good verbal and written communication skills, attention to detail and accuracy, teamwork and collaboration skills, ability to multi-task, prioritize and manage time effectively.

This position involves the handling of private and confidential information. It is expected that the employee will treat that information as private and confidential in accordance with the expectations and guidelines outlined in the WRC Employee Manual and any similar departmental guidelines.


  • Perform multifaceted general office support
  • Answer claims inquiry calls and take first notice of loss calls (1st Auto)
  • Enter new losses
  • Enter expense payments and process routine glass and towing claims
  • Prepare, edit and send correspondence for claims representatives
  • Prepare and/or review certified policies
  • Make necessary contacts with companies/vendors to obtain required data to process claim
  • Catalog recorded statements
  • Order police reports and update systems’ data with information received
  • Coordinate between departments and operating units in resolving day-to-day administrative and operational problems


  • Transcription and dictation
  • Prepare specialty files for transmittal to vendors (e.g., suit files, subrogation, and recovery)
  • Prepare, update and submit reports (status reports, reinsurance reports, adjuster weekly claims counts/stats, other departmental reports as requested/needed)
  • Assist in updating and maintaining departmental letters, macros, forms/templates and procedures
  • Assist in organization and maintenance of Claims portion of the network

Perform other duties and projects as assigned

Required Skills:

  • Minimum of two years work experience as Administrative Assistant or similar position
  • Proficient in Microsoft Office products:
  • Word: creating, updating letters, forms and templates, creating tables, formatting including setting and modifying tabs/indents, outlines, table of contents, headers/footers, and page numbers
  • Excel: creating and updating spreadsheets: adjust cell size, rolling column headers, multiple pages, creating and modifying formulas, importing data into a spreadsheet and creating tables and reports
  • Outlook: receiving and sending e-mails with and without attachments, exporting e-mails and attachments as one document as well as multiple documents
  • Typing Speed: minimum 65 wpm, 95% accuracy
  • Excellent verbal and written communications skills, including ability to proof/edit own work
  • Excellent organizational and time management skills

Additional Skills:

  • Proficient in Microsoft Word’s Quick Parts
  • Proficient in Pathagoras
  • Familiarity with property & casualty insurance terms

Production Room Clerk


  • Work approximately 20 hours a week between the hours of 8:30 am – 1:00 pm Monday through Friday.
  • Lifting-minimal, up to 40 lbs. rarely.
  • Repetitive motion and sitting or standing for extended periods of time

  • Slot/stuff agency mail

  • Prepares and scans documents for indexing into OnBase
  • Review scanned documents for accuracy and quality
  • Sort incoming mail by identifying the specific business area
  • Support Special or monthly/quarterly mailings
  • Back scanning of paper documents, Records Management, and data entry project support
  • Filing, copying, and any other general office projects or other Admin related functions
  • Serve as primary backup for front desk reception

Marketing Manager


Responsible for the overall coordination and alignment of marketing efforts across related, yet disparate, business units within The WRC Group and corporate communications. Work with marketing reps, underwriters and leadership across different corporate areas (reinsurer, direct lines insurer, agency, and claims service) to create and maintain a consistent and effective marketing strategy that promotes our brand, our values, and growth objectives. This position requires a strong, self-starter who can effectively manage working across multiple areas of responsibility while creating a cohesive marketing strategy and direction for our group of companies. Some travel required.

Job Duties

The primary responsibilities include:

Marketing plan development and oversight

  • Identify marketing needs and create marketing plan(s).
  • Establish and/or enhance sponsorships, advertising and community engagement to further our corporate mission, promote growth and assist our partners.
  • Manage marketing budget.
  • Manage the strategy and setup of all marketing and corporate communication campaigns, as well as loyalty and awareness efforts.
  • Measure and optimize our marketing efforts using Google Analytics and marketing analytics reports.
  • Collaborate with marketing teammates across business units to maintain a consistent brand voice and message across all programs.
  • Stay up-to-date with digital marketing trends and potential new channels and strategies.
  • Monitor and track marketing industry news/trends.
  • Prepare and deliver reports on marketing efforts, key performance metrics, and projects.
  • Attend industry and company events, tradeshows and conferences.

Digital marketing

  • Build and manage the company’s social media profiles and presence, including Facebook, Twitter, LinkedIn, and additional channels that may be deemed relevant.
  • Explore new ways to engage and identify new social networks to reach our target buyers.
  • Manage and improve organic search engine performance and establish metrics based on clickthrough rates and traffic to determine the effectiveness of efforts.

Marketing materials and content

  • Build and manage content that attracts a qualified audience to our website (including blog posts, whitepapers, reports, webinars, infographics, etc.). Work with outside vendors and internal IT staff to manage website availability and effectiveness.
  • Build and manage shareable content appropriate for our customer-base to spread both our brand and our content.
  • Create product content (e.g. case studies, product videos, website copy, blog posts, e-newsletters, etc.) to articulate the benefits of our products/services.
  • Oversee the creation and distribution of newsletters, brochures & bulletins.
  • Maintain inventory of marketing materials (giveaways, promotional material, stationery, etc.).

  • Minimum of 5 years of increasing marketing, advertising and/or brand management responsibility
  • Degree in Marketing or Communications
  • Strong interpersonal, communication & public relation skills
  • Experience with online marketing, social media and content marketing
  • Motivated, self-starter; strong project management skills (key as this is a new position)
  • Proficiency with MS Office applications
  • Familiar with Adobe Creative Cloud, SharePoint, Google Analytics, WordPress, and print production
  • Knowledge of graphic design, HTML & CSS programming a plus
  • Familiarity with insurance a plus
  • 25 lbs lifting requirement
